Privacy Policy

The Lehigh Valley Amateur Astronomical Society, Inc. (“the Society”)
considers the privacy of our members and the security of members’ personal information to be of
paramount importance. This policy describes the information the Society collects and how it is protected.

Every member entrusted with another member’s personal information during the normal course of Society
business is expected to abide by the provisions of this policy.

Our Privacy Commitment

The Lehigh Valley Amateur Astronomical Society, Inc. will never share a member’s
personal information
with another member or with any outside individual or organization
without the member’s express consent.

Information We Collect

The Society currently collects, or may collect, the following information from members:

  • Name
  • Mailing Address
  • Telephone Number(s)
  • Names of Spouse and/or Family Members
  • Checking Account Information
  • Credit Card Information
  • Owned Vehicle Information

Personal information is provided directly by members, either in person or through the LVAAS website.

Website Analytics (Google Analytics)

The LVAAS website uses Google Analytics, a web analytics service
provided by Google LLC, to help the Society understand how visitors use the website
and to improve its content and performance.

Google Analytics collects non-identifying, aggregate information such
as the pages you visit, the type of device and browser you use, the length of your
visit, and general geographic location. It does not collect your name,
email address, or other personal information, and LVAAS cannot use it to identify you.

To do this, Google Analytics places small text files (cookies) on your device. Google’s
use of this data is governed by the
Google Analytics Terms of Service and
Google Privacy Policy.

How to Opt Out of Google Analytics

You can prevent Google Analytics from collecting your website usage data at any time by:

  • Installing the official
    Google Analytics Opt-Out Browser Add-on,
    which disables analytics tracking across all websites; or
  • Blocking or deleting cookies through your web browser’s settings, which will prevent
    Google Analytics (and most other tracking cookies) from being set.

Opting out will not affect your ability to use or browse the LVAAS website.

Member Contact Information

Members indicate during registration and annual renewal whether their telephone number and/or email
address may be shared with other members when necessary to conduct Society business.

  • Phone Number Sharing: Yes / No
  • Email Sharing: Yes / No

The Society will never publish members’ personal information on the LVAAS website. Members may
voluntarily post their email addresses within the Society forums. In those cases, the Society
cannot accept responsibility for subsequent misuse of that information.

Exceptions

Legal Exception

Personal information may only be disclosed during a legitimate emergency or when required by a lawful
court order. Information will only be released to law enforcement after proper identification and
appropriate legal authorization.

Protecting Your Information

Except when actively being used for Society business:

  • Paper records are secured under lock and key.
  • Electronic records are protected using strong passwords and appropriate security practices.

Any accidental loss or unauthorized disclosure of personal information shall be reported immediately
to the Director of the Society. If the Director is responsible, the remaining elected officers shall
be notified immediately.

The Society will make every reasonable effort to recover lost information and minimize the effects
of any accidental disclosure.

Unauthorized Disclosure

Any member who intentionally or maliciously releases personal information without authorization
may be subject to disciplinary action, up to and including expulsion from the Society.
